Can I photocopy a certified translation, or do I need extra signed copies?

Need the same translation for several organisations? First establish whether a copy is enough or each recipient requires its own certified version.

The short answer

A photocopy reproduces a translation but does not become another signed issued copy. A scan is a digital image instead. The recipient’s instructions determine whether those formats or separately certified copies are sufficient. Ask about additional issued copies as early as possible.

Distinguish four kinds of copy

A photocopy duplicates paper. A scan stores its image in a file. An officially certified copy carries a separate copy certification from a competent body. An additional issued translation copy is instead prepared by the responsible translator for that purpose.

Ask the recipient for the precise term and full document set. Where the source and translation must be presented together, copying only one part may be insufficient. Translation certification does not confer a general power to officially certify copies of your source records.

Plan for several recipients from the beginning

List which organisation needs which record, in what format and by when. Some procedures may allow the same issued copy to be used in sequence; others retain documents for longer. Agree those arrangements with the recipients.

Tell us how many certified issued copies you need. Additional copies are not automatically included without extra charges. Preparation, pricing and delivery are agreed for the assignment; home printouts do not replace that agreement.

If the translation has already been issued

For a later request, provide the order reference and, where needed, an image of the existing version. Explain whether the source or recipient instructions have changed. A new certificate may require a different service from another issued copy of the same translation.

Keep the original issued version unchanged. Do not detach existing connections or add your own stamps or entries. Whether an earlier translation can be issued again depends on the available records; this does not promise indefinite retention.

Your next steps

  1. Record each recipient’s format requirements.

  2. Distinguish photocopies, scans and certified issued copies.

  3. Agree the number and cost of extra copies beforehand.

  4. Retain the order reference and existing version for later enquiries.

More questions

May I photocopy a certified translation myself?

You can make an image for your records. The recipient must confirm whether it is sufficient for submission.

Are additional issued copies free?

Extra copies and their delivery must be agreed separately. Free later copies are not promised as a general rule.

Can an old translation accompany a newly issued certificate?

Compare the source version and contents first. A new document may require new translation work.
