How long is a certified translation valid?

Already have a certified translation and want to use it again? Start by checking whether it matches the document and procedure now required.

The short answer

There is no single expiry period after which every certified translation automatically becomes invalid. The version of the source document and the recipient’s requirements matter. An organisation may require an up-to-date record even when an older translation accurately describes its earlier source.

Check the document and translation separately

A translation relates to a particular source. Compare document numbers, issue dates, pages and later annotations. A newly issued record may contain information missing from the existing translation.

For records of circumstances that can change, ask how recent the evidence must be. Do not automatically apply a deadline from an earlier application to a new one. A recent source document and a recently prepared translation are also different requirements.

When might an existing translation be reused?

Put the issued translation beside its source. If both are complete, the language direction fits and the contents are unchanged, ask the new recipient whether that version is acceptable. State the translation date and whether it is on paper or electronic.

Also clarify whether the original issued translation or an additional copy is required. A photograph of an old translation does not automatically meet a requirement to present a particular copy. Keep the associated documents together and do not detach their existing connections yourself.

What if the document has changed?

Do not write updates into the signed translation yourself. Mark changes on a separate working copy and send both old and new documents for assessment. That makes it possible to establish whether revision or a new assignment is needed.

If a translation is refused, request a specific explanation rather than relying on the statement that it is too old. Ask which document version, maximum age and delivery format are needed. These details help you order the right work.

Your next steps

  1. Ask the recipient how recent the evidence must be.

  2. Compare the old translation with the document now requested.

  3. Identify new entries and changes separately.

  4. Confirm the format and number of issued copies.

More questions

Does every translation expire after six months?

No universal six-month limit applies to every translation and procedure. Check the requirement for your particular documents.

May I add updated information myself?

Do not alter the certified translation yourself. New content must be discussed with the responsible translator.

Should I have everything translated again just in case?

Establish what is needed first. Comparing the earlier and current source helps assess whether new work is necessary.
