Is a digital certified translation as a PDF sufficient?

Digital can mean a scan of a paper translation, a working file or an electronically signed document. These are different formats for submission purposes.

The short answer

A PDF is not automatically an electronically certified translation. A scan depicts a paper copy; a qualified electronic signature has a different technical function. Before ordering, establish which format and submission channel the receiving organisation accepts.

Distinguish a scan, signed file and paper copy

A scanned signature is an image. An electronic signature instead provides a verifiable link to its signatory and protects the signed file. A filename or visible stamp image does not reliably establish that a file has those properties.

Printing a PDF does not automatically transfer the verifiable properties of its electronic signature to paper. Likewise, scanning a signed paper translation does not turn it into a file carrying a qualified electronic signature.

Ask the receiving organisation the precise question

Ask whether a scan of the signed translation is sufficient for this application, whether an electronically signed copy is required or whether paper must be submitted. Also check the upload portal, file-size limits and any later presentation of originals.

Successful technical upload does not confirm that the contents or format have been accepted. Retain upload receipts and watch for requests for further evidence. An email address for questions is not automatically an authorised submission channel.

Agree any digital format before ordering

Send specific signature and format instructions with the complete documents. An additional digital version or particular signature type must be arranged beforehand; selecting certified translation does not promise every electronic format for every purpose.

If you receive an electronically signed file, retain that original file unchanged. Merging, editing or rescanning it can make signature verification difficult or impossible. Use a separate working copy when organising your records.

Your next steps

  1. Check the format required by the actual recipient.

  2. Provide the full signature and upload instructions.

  3. Confirm any special digital version before ordering.

  4. Keep electronically signed files unchanged.

More questions

Is every PDF showing a stamp electronically signed?

No. A stamp image and a verifiable electronic signature are different things.

Can I simply print an electronically signed file?

Printing reproduces its contents but does not automatically preserve electronic verification. Ask whether that printout is acceptable.

Is a particular electronic signature included automatically?

Specific signature requirements must be discussed and confirmed with us before the assignment.
