Guide · Certified translations

When can translation costs be deducted for German tax, and which records should I keep?

Whether translation costs can be taken into account for tax depends on their purpose and your circumstances. Well-organised invoice records help with the later assessment.

The short answer

For German income tax, a connection with earning, securing or maintaining income may be relevant. Section 9 EStG governs income-related expenses and includes special education rules. Certified translations are therefore not automatically deductible. Retain the invoice, payment evidence and work-related purpose and have the actual treatment checked.

Document the actual purpose

Record why the translation was needed, such as a job application or qualification recognition. Keep the corresponding request separately from the translated personal records.

Work-related, private and education expenses can receive different treatment. A particular document title or translator’s stamp alone establishes no right to a tax deduction.

Keep traceable invoice and payment records

Retain the final invoice with payment evidence. Note the assignment it relates to and whether agreed additional services were itemised separately.

A free initial estimate is not a paid expense. Distinguish the quotation, order and actual invoice when assembling records for your tax return.

Record reimbursements and funding separately

If an employer, Jobcenter or another body pays costs, retain those decisions and payments too. Tell the person assessing tax treatment which amounts you actually paid yourself.

Reimbursement and tax treatment are different questions. We can discuss translation scope and invoice details; establish individual tax treatment with your tax adviser or competent tax office.

Your next steps

  1. Record the work-related or other actual purpose.

  2. Store the final invoice and payment evidence together.

  3. Document reimbursements and costs paid yourself.

  4. Have tax treatment checked for your case.
